Bulldog Days of Summer tour guides needed

Each summer, the Office of Admission hires students to serve as tour guides during the Bulldog Days of Summer programs on Aug. 5 and Aug. 9. Students are paid $7.25 per hour. These programs will welcome 80–100 students and families to each program. To serve these visitors well, Drake students are hired to provide campus tours during defined hours each morning on these dates. A two-hour training session prior to giving a tour is required unless the student is already a Coleition member. Students sign up for available hours, and given the tour needs, are provided with a final schedule a week prior to the program. Students learn tour routes, key messages, responses to commonly asked questions, facts, and benefits of the University. Interested students should possess an enthusiasm for their Drake experience, strong communication skills, and the ability to relate to individuals from various backgrounds, ages, and experiences. Short’s Travel: Drake’s exclusive air travel vendor

Short’s Travel is the exclusive provider for all Drake air travel transactions. When using the Drake P-Card for airfare, it should only be used with Short’s and no other airline booking sites. This eliminates the need for reimbursement requests to Accounting for air travel. If you feel that you require an exception, please contact Caron Findlay prior to making your arrangements.

Fiscal year-end purchasing guidelines

With the University’s fiscal year-end (June 30) approaching, below are recommended guidelines for efficient and effective year-end processing of purchases.

Accounting for departmental expenses:
In accordance with generally accepted accounting principles, Drake is required to report transactions in the proper fiscal period. For that reason, expenses are recorded in the period when goods are received and/or services are rendered. In short, items expensed to a FY19 budget will need to be received before June 30, 2019.  Factors such as budget allocation, invoice receipt, or payment issuance would not have an impact on the application of expenses within a fiscal period.

Exceptions to this general rule apply when a benefit of service or receipt of item extends into multiple fiscal years. In such cases, the following guidelines will be applied.

  • Expenses less than $5,000: will be charged against the fiscal year in which the majority of the expense will be incurred. (For example, if a subscription is purchased for $3,000 and covers the period of 7/1/18 through 12/31/19, the expense would be charged to FY19)
  • Expenses greater than or equal to $5,000: will be split into the fiscal years according to the percentage of benefit received during each fiscal period. (For example, if a subscription is purchased for $10,000 that covers a period of 7/1/18 through 6/30/20, $5,000 would be charged to FY19 and $5,000 charged to FY20)

The University’s guidelines for year-end purchases are subject to external audit. As you make purchases during this period leading up to and overlapping our fiscal year end, it is important to note when the goods or services were received so they are expensed according to reporting requirements. If the timing of receipt is not clearly noted on the invoice, it would be beneficial to help call the receipt date to accounting’s attention by clearly marking the appropriate fiscal year for the expense, based on the above guidelines, on the pay request.

New wireless certificates are coming

On Thursday, May 23, at 7:30 a.m., ITS will be renewing a certificate on one of the servers that supports authentication to the wireless network. This change will result in prompts to accept the new certificate on any non-Drake owned devices connecting to the secure wireless networks – both DUStudent and DUFacStaff. Please accept the certificate when prompted. This should only need to be done once per device. Thank you!

Summer building hours and Memorial Day holiday

Most campus buildings have shortened or administrative hours (7:30 a.m.–4:30 p.m.) during the summer.

Additionally, doors to most buildings will be locked for the Memorial Day holiday (Monday, May 27). Card access will still allow you to access your authorized buildings, but they will be locked to the general public due to decreased staffing and foot traffic. Regular door schedules will resume on Tuesday.

TODAY: Drake Choir and Chamber Choir Tour home concert

The Drake Choir and Chamber Choir will tour Italy, France, and Austria, beginning May 22. Enjoy their concert program at a performance on May 21, 4 p.m., at St. Ambrose Cathedral, 607 High Street, in downtown Des Moines. There is no charge for this concert, which will be followed by an ice cream social sponsored by Drake President Marty Martin. Please note that this is a change of location.

Learning Symposium call for proposals

The 2019 Learning Symposium will convene around the theme Drake Tomorrow: Why We Change, How We Change. The student body of the future is ever evolving, and demographics will change dramatically in coming years. Thus, Drake faces a choice.  Do we react to these changes as they occur? Or do we try to control our own destiny by planning, making decisions that will secure the future of the University, learning to serve our current students while working intentionally to plan for future generations of students. This will be the focus of this year’s Learning Symposium.

The 2019 Learning Symposium will be Friday, Aug. 16, in the Olmsted Center. The Provost’s Council is currently seeking proposals for the break-out sessions. Access the complete Call for Proposals here: 2019 Learning Symposium Call for Proposals.

Final grades due tomorrow

The deadline for final grade entry for the spring semester is 10 a.m. on Wednesday, May 22. Exception: final grades for the Law School are due on Tuesday, May 28.

Those of you who want to submit grades directly into MyDUSIS should begin by clicking the Grading button in the “Faculty & Advising” menu in myDrake and then finding the “Final Grades – Submittal Link.”

In memoriam: Marie Fisher

It is with great sadness that we share the passing of Marie Fisher, retired administrative assistant for the Departments of Chemistry and Physics and Astronomy. Marie provided her dedicated service for 35 years until she retired in 2014. She was the first friendly face to meet when one entered the areas of physics or chemistry and the virtual mother of the two departments, keeping us all organized and well taken care of. We will always value all her contributions, remember her with great fondness, and honor her life.

A visitation is scheduled for Monday, May 13, from 11 a.m.–1 p.m. at Hamilton’s Funeral Home, 605 Lyon Street, Des Moines. A service will follow at 1 p.m.

Marie is survived by her husband John A. Fisher, her children: Stephanie (Kevin) Jones, Anthony (Jerriane) Fisher, Kaylianna, Marguerita and Mesha Fisher, Zemira Fisher, her step-children: Julie Jackson (Hatlas), Wanda (Mike) Carter, John Jr. Fisher, Terry Fisher, Clifford Fisher and Deanna Richardson. She is also survived by her father Allen (Ruth) Downey, Sr. and her siblings: Roberta Robinson, Robert (Lorreta) Lee, Cheri Downey, and Allen Downey. Read Marie’s full obituary.
